How a school spirit wear store works

A spirit wear store is a short online shop for one school, where parents, pupils and staff buy hoodies, tees and caps with the school's name and crest. The school or PTA usually earns money on each sale. For a decorator, the hard part is not the printing. It is collecting hundreds of small orders, chasing payments, and sorting sizes by class at the end. Spirit wear store software does that admin for you, then hands you one batch to print.

Step 1: set up the store

Create a store for the school from a template, so the delivery, fundraising and checkout settings are already right. Pick the products and the design on each, and Dyenzo makes the product pictures in each colour you offer. Set the open and close dates. Give the school its own address on your website, or its own domain if it has one.

Step 2: decide how families buy

  • Open to anyone with the link, or behind a password the school shares
  • Card payments, or bank transfer, cheque or cash if you allow them
  • Delivery to the school in one drop, collection, or sent to each home
  • An amount for the school on every item, or a share of the goods
  • A countdown on the store page, and an optional "store closing soon" email

Step 3: the school shares the link

The organiser sends the store link home in the newsletter or on the school app. Parents pick sizes, pay, and get an order confirmation from your shop. The store shows prices even if your main website hides them from guests.

Step 4: the organiser watches it fill up

The school's organiser signs in to your customer portal and sees their store: the orders, the sizes per item and the money raised so far. They can download it all as a CSV. They never see a parent's email, phone number or address. You and the organiser get an email when the store opens and when it closes.

Step 5: one batch when the store closes

At the close time, Dyenzo closes the store on its own and turns every paid order into one production batch. Print the worksheet, the pull sheet of blanks by size, packing lists and box labels for the whole school. Raise purchase orders for the blanks in one go. The batch moves across your production board as one job per decoration method.

Step 6: deliver and pay the school

Pack each order with its packing list, then deliver the lot to the school. The fundraising amount is fixed on each order when it is paid, so the total you owe the school is clear. Record the payout in Dyenzo and export payouts as a CSV for your bank.

Ideas that sell well

  • A store per house or year group, cloned from one template
  • Leavers hoodies with every pupil's name on the back
  • Sports day tees in house colours
  • Staff polos sold beside the parents' range
  • Player packs for school teams: shirt, shorts and socks in one click

Why schools like an online spirit wear store

Paper order forms get lost in book bags, cash goes missing and sizes are hard to read. An online spirit wear store fixes all three. Parents order when it suits them, pay up front, and get the right size. The PTA sees how much it has raised without counting envelopes. And you get a clean list of every order, ready to print, instead of a pile of forms to type in.

Questions

Can the school see who ordered?

The organiser sees each order with the item, size and name, and can download a CSV. Parents' contact details stay private.

Can parents pay at the school office instead?

Yes, if you turn on cash or cheque for stores. The order is placed unpaid and staff record the money when it arrives.

How do we run the same store next year?

Clone this year's store, change the dates and open it. Products, prices and settings come with it.
